Terms and Conditions of Booking

By making a booking, you agree that: 

1 Tarriffs

  1. The nightly tariff is shown in the booking calendar on the Otby Lake Boat House page of our website.
  2. Arrivals and departures are available on any day where availability is shown.
  3. A 2-night minimum stay applies.
  4. You may arrive from 4pm are asked to vacate the property by 11 am on day of departure.

2 Payment terms

  1. To confirm your booking, you must pay a 25% non-returnable deposit (or full payment if booking within 6 weeks of your check in date) and the entire Booking will be subject to the cancellation policy as outlined below.
  2. A non-returnable deposit of 25% is required on booking if this is more than 6 weeks prior to arrival. The balance is due 6 weeks before the date of the booking.
  3. If you do not make any payment due by the due date, then with regret, we will cancel your Booking and terminate the contract with you. In these circumstances, your rights to a refund are set out below. 

3 Cancellation

  1. Ifcancellation is notified in writing more than 6 weeks prior to the date of the booking the balancing payment will be waived.
  2. If you have to, or want to cancel or amend your Booking, this request must be sent to us by email (natalie@otbyfarms.co.uk) and will be considered and responded to within two working days of receipt. Please ensure that you have received written confirmation of any changes to your Booking prior to travel. Whilst we will always try to help, we cannot guarantee that such requests will be met.
  3. Cancellation by you at any time will result in your 25% deposit being forfeited. The deposit is always non-refundable as it covers costs incurred and services provided to enable your Booking.
  4. If you need to cancel your booking on a date 6 weeks or more in advance of your check in date, the 25% deposit will be forfeited. If the booking has been paid in full the balance will be returned to you, minus the 25% deposit. Refunds will be issued by bank transfer.
  5. You are strongly recommended to take out personal travel insurance for all members of your party for UK holidays, including for illness and cancellation due to Covid-19. It is your responsibility to ensure that the insurance cover is adequate for your needs, including cancellation and curtailment. 
  6. We may have to cancel a booking due to events outside our reasonable control (see below). In such circumstances, we will liaise with you and try to organise an alternative booking, or a refund but we will have no further liability to you.
  7. If you fail to check-in on your date of arrival your Booking will be cancelled and no refund will be due.

4 Refunds

  1. If a refund is issued it will be in the same form and ratio as the original payment was made. Therefore, if a Gift Voucher was used to purchase the original stay, the refund will revert onto a new Gift Voucher at the same amount as originally used.

5 Complaints & Procedure

  1. We always aim to provide the best possible holiday experience, however, if you have any complaint or problems during your stay, please immediately notify us during the stay itself, so that we have the opportunity to resolve the problem at the time. If you do not follow this procedure, there will be less opportunity for us to investigate and resolve your complaint and to make your stay as enjoyable as possible. Delays may also mean that the amount of compensation you may be entitled to, may be reduced or negated.

6 Events beyond our control

  1. If we are prevented or delayed from complying with any of the respective obligations under these Terms & Conditions or a contract for a Booking due to events or circumstances beyond our reasonable control, the inability or delay in performing those obligations will not be treated as a breach of these Terms & Conditions or a contract for a Booking. Examples of such events or circumstances include fire, flood and other acts of God, strikes, trade disputes, lock outs, restrictions of imports or exports, riot, accident, disruption to energy supplies, civil commotion, acts of terrorism or war, epidemic, pandemic, environmental disaster, any national/local/regional government restrictions.

Occupancy Rules

  1. Not to take up occupation of the property on the first day of any vacation period before the time specified and ensure that the property is vacated on the last day of the vacation period no later than the time specified.
  2. To keep the property reasonably clean and tidy and to vacate the property with all the washing up complete.
  3. To maintain the property (including its contents) in a reasonable state and condition and to pay the managers on demand the cost of repairing or making good any damages or breakages.
  4. To allow access to the owner, or their workmen for the purpose of any repair work or maintenance which needs to be carried out to the property or its contents during the vacation period.
  5. To comply with all arrangements made by us for the disposal of refuse and not to deposit any harmful substances or material into the sink, lavatory, cistern and drains of the property nor allow anything to be thrown from or to accumulate outside the property.
  6. Not to use the property or permit it to be used during the vacation period for any purpose other than holiday accommodation and not to use or permit it to be used for any illegal or immoral purpose.
  7. Not to allow the property to be occupied during the vacation period by more than two persons.
  8. Not to display any notices or signs or external projections on the property or make any additions or alterations to it nor to damage the property or its contents in any way.
  9. Not to do or permit anything which may be a nuisance or cause damage or annoyance to any neighbouring owner or occupier and in particular not to make excessive or unreasonable noise inside or outside the property
  10. Not to do anything which might invalidate the insurance cover on the property or its contents. In the event of so doing and of any insurance monies not being recoverable in consequence the guest / occupier shall be responsible for making good the amount irrecoverable
  11. Not to bring into or store in the property any flammable or explosive substance. No smoking, vaping, using e-cigarettes or lighting candles in the property – this is strictly forbidden due to fire safety rules.
  12. Not to bring to or keep in the property any animal or pet.
  13. Not to deviate from the access road or public footpaths or to go beyond Otby Lake Boat House (please see notes on access).
  14. To pay to the managers on demand all costs and expenses reasonably incurred in making good any breach of the foregoing obligations and restrictions.
